Copying or Moving Files in SharePoint using Classifier

SharePoint uses two primary methods for categorizing content. The hierarchy of sites, lists and folders is similar to file systems approach of locating files in appropriate areas; and a metadata approach of using content types and fields to ‘tag’ or classify content so that it can be located through search or filtering. MetaVis Classifier module has been designed to categorize content in bulk by leveraging one or both of these methods. This guide will walk you through the process locating content in specific sites, lists and folders. Please refer to the guide titled, Tagging SharePoint Files, for additional information on intelligent ‘tagging’. Both approaches can be used simultaneously to locate and categorize many similar files, quickly and efficiently.

(1) Locate the List or Library containing your content
From the navigator pane, right click on the list containing your content. Select ‘Show Items’ from the provided menu. The contents of the selected list will be loaded into the ‘List/Library Contents’ pane.
Note: If the site containing your content is not available in the navigator pane, follow the instructions for Load(ing) from SharePoint.

(2) Select Files to Copy or Move
From the list of files located in the List/Library Contents pane, select all the files that you wish to transfer to a different location. Hold down the CTRL key to select individual files or SHIFT key to select multiple consecutive items.
Hint: Select files from any folder by opening the folder and following the same method.

(3) Copy Wizard
After selecting your files, initiate the wizard by right-clicking on any of the files. From the menu, choose the Copy option.

(4) Select Target Location
In order to enable the selection of a new location, uncheck the 'Keep content in place' check box at the top of the wizard. This will activate the 'Select Different Site' button and a list selection field.

  1. Step 1 – If your content needs to be moved or copied to a different site, click on the Select Different Site button. If you only need to transfer your content to a different list or folder within the same site, proceed to Step (2). Enter the destination site in the provided window along with your cridentials. The information will be verified and the list and folders for the target site will be loaded.
  2. Step 2 – Select the target list/library/folder by clicking the down arrow in the List field. This will generate a new window with all available lists and folders in the current site. Choose the appropriate location and press the Select button.
  3. (5) Completing the Wizard
    Once you are satisfied with your settings, press the ‘Next’ button located at the bottom of the window. The Wizard will generate the same Properties window that is used for the tagging process. Please follow the instructions in the 'Tagging SharePoint Files' guide if you wish to re-classify your content at the same time as migrating it. Once this is done press the 'Next' button to proceed to the Summary window. Press the ‘Finish’ button to initiate the operation.
    Hint: By default, Classifier copies the selected files. In order to Move a file, check off the Delete Items from Source check box.

    (6) Confirmation
    Classifier will generate a confirmation in the Status column for each file being transferred. There are 2 possible responses:

    • Copied/Move Successfull – this message in green indicates that the file was transferred successfully.
    • Copy/Move xxxxx- this message in red (with actual error message) indicates that the file was not transferred.
