In a development that lets users copy SharePoint information while retaining metadata, MetaVis Technologies Inc. announced that it was shipping MetaVis Migrator for SharePoint. It works with Microsoft SharePoint 2003, 2007 and 2010, and ensures that content characteristics and tags such as document properties, column values and version history are retained and searchable. Users can copy sites, lists, libraries, folders or individual items between SharePoint environments for consolidation, upgrade or compliance. Document and item find-ability (and most workflows) in SharePoint rely on the actual metadata values associated with the content. Efficient metadata models improve search and navigation processes and enable generic workflows to be applied to content. This, however, will not be realized unless the metadata is reliably populated for all content. A metadata model architect (information architect) needs to achieve a fine balance between not enough metadata to make the content “find-able”; and excessive metadata which adds too much burden to users working with the content.

A recent discussion on the LinkedIn group Weekend Woodworkers asked members to talk about their favorite hand plane. Right away I knew the person starting the discussion was a real woodworker. A real woodworker knows better than to ask “what’s your favorite tool?” There are simply too many favorites. And, a real woodworker knows the attachment woodworkers have for planes. My favorite, shown here, is a Stanley Low-angle Block Pane. When it comes to the work I do with SharePoint, choosing a favorite tool is hard. In fact, I don’t really use that many tools. Even though I’ve been working with SharePoint for five years, there are still a lot of things I like to do by hand, to fully understand the options, features and capabilities. After I have this understanding, if the task is difficult or tedious, then I decide to buy a tool to help. One such tool we recently purchased is MetaVis Architect Suite.

Last week, I had a chance to get a demo of a cool product for designing and maintaining taxonomies for SharePoint sites called MetaVis Architect. The tool is designed for information architects – people who have the responsibility for designing an information taxonomy for a SharePoint site. They also offer a product called MetaVis Classifier that supports end users who have to migrate and tag content from a file share (or another SharePoint site) into a new site. Together, they make a suite worth exploring.

The company released MetaVis Architect for SharePoint and Classifier for SharePoint, which are designed for information architects and end users, respectively, to help them categorize and tag data. Users moving data from established systems to often find the Microsoft platform only offers a subset of tools and capabilities for organizing data for effective search. MetaVis is attempting to plug those gaps. In addition, data classification and tagging can be set centrally and used across SharePoint sites instead of being done per site, which is the procedure when using native SharePoint tools.

The company was founded in June 2008 by Steven Progrebivsky, the CEO, and Mark Klinchin, the CTO, who have strong backgrounds in migrating data from ECM systems. "One of the needs we saw was in migrating well-defined metata, where content was easily findable, into SharePoint.

Visual Studio is a great tool for the SharePoint Developer. But what about the SharePoint Information Architect? You don't write code, so Visual Studio doesn't cut it for you. Still it would be nice to have some kind of product that let's you work on SharePoint designs without having to have your SharePoint test environment up and running and without having to create that design only to have to change it because it isn't quite right.
